At The Image of Tanzania Safaris, we are committed to transparency, professionalism, and client protection. These Terms & Conditions explain how bookings, payments, cancellations, insurance, and responsibilities are handled. They are designed to safeguard both our guests and our operations, ensuring a smooth, secure, and memorable safari experience.
By confirming a booking with us, you acknowledge and agree to the terms outlined below.
Acceptance of Terms
By booking a safari with The Image of Tanzania Safaris Ltd., you confirm that you have:

By confirming a booking with us, you acknowledge and agree to the terms outlined below.
Booking Process
A safari booking is considered officially confirmed only when:

The final itinerary and price have been approved by the client

The required deposit has been received
Once confirmed, we will issue:

A written booking confirmation

A traveller registration form requesting essential details (passport information, dietary requirements, rooming preferences, etc.)
Only requests submitted in writing through the registration form or official email correspondence are considered part of the confirmed booking. Verbal requests or informal messages are not guaranteed.
The Image of Tanzania Safaris reserves the right to decline a booking before final documentation if it poses operational, safety, or compliance risks.
Price Guarantee
We strive to maintain price stability once a booking is confirmed. However, price adjustments may be required due to factors beyond our control, including:

Government increases in park fees, conservation fees, or taxes

Significant fuel cost fluctuations affecting transport

Major exchange rate variations between USD and supplier currencies
-
Supplier or system errors resulting in unrealistic pricing
Any such changes will be communicated immediately. No additional charges will be applied without explanation and client acknowledgement.
Payment Terms & Flexible Payment Plan
We offer a flexible and client-friendly payment structure to make safari planning more accessible.
Step 1 – Initial Deposit (10–20%)

Payable upon booking confirmation

Secures safari dates and initiates reservations for lodges, flights, park permits, and vehicles
Step 2 – Second Payment (20–30%)

Due 2–3 months before safari commencement
-
Enables finalisation of accommodations, domestic flights, park permits, and logistics
Step 3 – Final Balance

Due 5–10 days before safari start date
Upon receipt of full payment, clients will receive:

Final safari itinerary
-
Domestic flight tickets (if applicable)
-
Pick-up and meeting instructions

Safari preparation information
Accepted Payment Methods:

Bank Transfer

Credit/Debit Card

Secure Online Payment Link (Pesapal)
Accepted currencies: USD / EUR / GBP / TZS
Note: Any bank or processing fees are the responsibility of the client.
Cancellation & No-Show Policy
Safari services are often prepaid and non-refundable. The cancellation policy is therefore as follows:

20 days or more before safari start: Refunds may be possible, minus bank fees and any supplier-imposed penalties. In some cases, a travel credit may be issued instead of a refund, depending on supplier terms.

Less than 20 days before safari start: 100% of the safari cost is forfeited.

Domestic flights: Non-refundable once issued. Airlines may impose penalties of 50–100%.
-
No-show: No refund or credit will be issued.
Travel insurance with cancellation cover is mandatory.
Late Payment Policy
All payments must be made by the deadlines stated on the invoice.
Failure to meet payment deadlines may result in:

A late fee of up to 3.5% on the outstanding balance

Release or cancellation of lodges, flights, or park reservations by suppliers
-
Treatment of the booking as a cancellation under Section 6
To avoid complications, we strongly recommend full payment at least 14 days prior to arrival. Cash payment may be accepted by prior arrangement. Open discussion is encouraged if payment timing becomes challenging.
Changes to Itineraries
Changes by The Image of Tanzania Safaris
Adjustments may be necessary due to weather, road conditions, park regulations, or supplier availability. Any alternative arrangements will be of equal or higher standard and communicated in advance. Such changes do not qualify for refunds.
Changes Requested by the Client
Post-confirmation changes may incur:

Administrative fees

Supplier change penalties

Additional charges for upgrades
All change requests must be submitted in writing.
Insurance Requirement
All travellers must have comprehensive travel insurance covering:

Trip cancellation or interruption
-
Medical treatment and emergency evacuation

Personal injury
-
Loss or damage of baggage
Travel without insurance is undertaken entirely at the traveller’s own risk.
Traveller Fitness & Conduct
Safari travel may involve early starts, long drives, rough terrain, and close proximity to wildlife. Clients are responsible for ensuring they are physically fit to participate.
The Image of Tanzania Safaris reserves the right to terminate a safari without refund if a traveller:

Acts unlawfully

Endangers others or wildlife

Disrupts the experience of fellow guests
Liability Limitations
The Image of Tanzania Safaris is not liable for:

Airline delays or cancellations
-
Failures of third-party suppliers
-
Government actions, weather events, or force majeure
-
Costs arising from missed connections or schedule changes beyond our control
Clients acknowledge the inherent risks associated with wildlife travel and natural environments.
Optional Activities
Optional excursions (e.g., balloon safaris, diving, cultural tours, spa services) are operated by independent third parties. Their safety standards, refund policies, and operational decisions are outside our control.
Legal Jurisdiction
All bookings and disputes are governed by the laws of the United Republic of Tanzania. Any legal proceedings must be filed within Tanzanian courts.
Client Protection & Financial Security
